This data is collected through cookies and similar technologies (see Section 5).
3. How we use your data
We use the data we collect for the following purposes:
To respond to your enquiry. When you submit a form, we use your contact details to reply and, if relevant, to send you a written proposal.
To improve the Site. Analytics data helps us understand how people use the Site so we can make it better.
To comply with legal obligations. We may retain records of communications where required to do so by law.
We will not use your personal data for automated decision-making or profiling.
4. Our legal basis for processing
We process your data under the following legal bases under UK GDPR:
Legitimate interests — to respond to enquiries from people who have contacted us, and to analyse Site usage to improve our services.
Legal obligation — where processing is necessary to comply with UK law.
5. Cookies
The Site uses cookies. A cookie is a small text file stored on your device. We use:
Essential cookies — necessary for the Site to function. These cannot be disabled.
Analytics cookies — we use Google Analytics and Cloudflare Analytics to collect aggregated data about Site usage. Google Analytics sets cookies that help us understand visitor behaviour. Cloudflare Analytics may use privacy-preserving methods that do not require cookies in all cases.
You can control cookies through your browser settings. Disabling analytics cookies will not affect your ability to use the Site. For information on how to manage cookies, visit aboutcookies.org or your browser's help pages.
For details on how Google uses data collected via Google Analytics, see policies.google.com/privacy.
6. Third-party services
We use the following third-party services that may process personal data:
Google Analytics — website analytics. Google may transfer data outside the UK/EEA. Google's privacy policy applies: policies.google.com/privacy.
Cloudflare — website hosting, performance, and analytics. Cloudflare processes traffic data as part of delivering the Site. Cloudflare's privacy policy applies: cloudflare.com/privacypolicy.
Calendly — if you book a discovery call via the booking link on the Site, Calendly collects and processes your name, email address, and scheduling data. Calendly's privacy policy applies: calendly.com/pages/privacy.
We do not sell your personal data to third parties. We do not use your data for advertising.
7. Data retention
We retain form submissions (enquiries and job applications) for up to 24 months. After that period, records are securely deleted unless we have a legal obligation to keep them or an ongoing business relationship with you.
Analytics data is retained in line with the default retention periods set by Google Analytics and Cloudflare, which you can find in their respective privacy policies.
8. Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data (subject to legal obligations)
- Object to processing based on legitimate interests
- Request restriction of processing
- Data portability (where processing is automated and consent- or contract-based)
To exercise any of these rights, email privacy@byond.software. We will respond within one month.
You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.
9. Data security
We take reasonable technical and organisational measures to protect personal data against unauthorised access, loss, or disclosure. Form submissions are transmitted over encrypted connections (HTTPS). Access to stored submissions is restricted to authorised personnel.
No method of electronic transmission is completely secure. We cannot guarantee absolute security, but we take our obligations seriously.
10. International transfers
Some of our third-party providers (including Google) may process data outside the UK or EEA. Where this occurs, we rely on the provider's use of appropriate safeguards, such as the UK International Data Transfer Agreement or equivalent standard contractual clauses.
